Due to the nature of the position, additional hours may be required and the successful candidate must be available to meet during the operating hours of Smile and the clients for the various projects
Position Summary:
This role is responsible for planning, executing and evaluating multiple projects and driving them through their entire life cycle while coordinating with internal business leaders and clients. Project teams are fluid and continually changing or evolving to deliver on the needs of our clients. This includes acquiring resources and coordinating the efforts of team members and third-party contractors or consultants to deliver projects according to plan. This is a client-facing position with a high level of responsibility. You will be coordinating across multiple departments within your project team to ensure smooth completion of project deliverables. This role will demonstrate leadership, teamwork and relationship building with the project team, as well as various cross-functional teams. This role ensures that project scope changes and risks are resolved, mitigated and/or escalated in a timely fashion. The successful candidate must be able to balance the needs of many competing groups and must be able to work on several projects at the same time.
Responsibilities Include:
Lead multiple project teams simultaneously through the entire project life cycle
Act independently and judiciously to ensure that your projects are completed within scope, on time, and on budget whenever possible
Adhere to best practices with internal/external teams
Clearly communicate project timelines, including milestones, deadlines and deliverables
Co-develop (with team members) project timelines, and monitor and adjust them as necessary while communicating with the team members and the client as changes occur
Facilitate communication between yourself and all internal and external stakeholders in order to maintain good client relations
Lead and facilitate effective project meetings, take meeting notes, and clearly communicate those notes back to the project team at the end of the meetings
Provide status updates and time tracking
Managing, facilitating and guiding cross-functional teams, including creative and technical resources
Work effectively with outside vendors as needed, to make sure they are working efficiently and effectively to deliver on-time and on or under budget
Provide feedback and coaching to team members, including ability to establish and build healthy working relations and partnerships with project teams, and other project stakeholders.
Provide regular reporting and updates on the projects
Role Requirements
Undergraduate Degree required in a relevant field of study which may include but is not limited to Health Sciences, Business or Health Administration
Project Management Professional (PMP) certification
Knowledge of best practices in both Linear (Waterfall) and Agile project management
About 5 years or direct and relevant project management experience with medium to large-scale IT projects, management and systems implementation
A track record of success (on-time, on-budget, goals met), including all aspects of business requirements gathering and implementation of solutions for projects
Strong interpersonal skills, leadership and organizational skills along with the ability to build and cultivate strong partnerships with clients, technical teams and internal business partners
Foundation knowledge of operating systems, application development, database management, interface engines, information systems principles, and related methodologies
Knowledge of approaches, tools, and techniques for gaining the cooperation and support of others
Strong analytical, problem solving, and negotiation skills
Ability to work in a multi-functional team environment with rapidly changing priorities.
Demonstrated ability to do effective presentations to large and small groups
Ability to effectively prioritize and execute tasks in a high-pressure environment is crucial
Strong knowledge in documentation and collaboration tools such as G Suite, Google, Hubspot, Confluence, SmartSheet, Lucidchart and other document, project and processing tools
