Island Coastal Aviation Inc., is a pilot training and flight school specializing in advanced flight training, including float plane/seaplane, mountain and bush training, as well as charters, including fire patrols and wildfire management.  We are currently looking for an office coordinator responsible for the following job duties:

  • Evaluate school's operational procedures with a focus on enhancing operational effectiveness and continuous improvement, recommending and implementing enhancements where needed.
  • Establish quality control procedures and process standards for aircraft return, repairs, inspection, maintenance. Ensure all procedures are in compliance with manuals and regulations.
  • Create files for and maintain all paperwork related to each client (personal information, waivers, insurance, payments). Upon completion of training courses, audit paper records for accuracy and ensure safekeeping of all files.
  • Coordinate student and instructor's calendar by scheduling courses. Check for availability of airplane, all maintenance and checkups are done prior to the start of each class.
  • Responsible for managing the dispatch and return of all airplanes. Maintain detailed activity logs for activities associated with each airplane and work with maintenance staff to ensure all aircrafts are in sound condition.
  • Assist management with the development of operational budgets. Work with other departments to implement cost saving solutions.
  • Responsible for the purchase of supplies and management of inventory level.  Conduct research and find alternative supplies, parts and equipment to purchase.
  • Conduct research on competitor's piloting courses, programs and aircraft models used. Draft reports, analysis, and recommendations for manager to review.

Highlight of Qualification:

  • Post-secondary education is required.
  • Knowledge of aircraft parts and theory of aircraft structure.
  • Motivated team player with superior time management skills.
  • Problem solver with the ability to work under pressure.
  • Excellent knowledge of MS Office is a must.
  • Must be willing to work weekend shifts.
  • Ability to clearly and effectively express information and ideas both verbally and in writing.
  • Ability to conduct research, draft reports and presentations.

Employment Conditions:

Rate: $25 per hour

Hours: 40 hours per week
